Better Business Accounting is committed to protecting the privacy of the people we deal with. This policy explains what personal information we collect, why we collect it, how we use and protect it, and how you can access or correct it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
The information we collect
The information we collect depends on the services you ask us to provide. It generally includes:
- Name, address, contact details and date of birth
- Tax file numbers and Australian Business Numbers
- Income, expense, asset and liability information
- Bank account and payment details
- Employment and business records
- Information about your family or associated entities where it is relevant to the work we do for you
- Identification documents where we are required to verify your identity
We collect this information because we need it to provide accounting, taxation and business services. If you choose not to provide it, we may not be able to act for you.
Tax file numbers
As a registered tax agent, we collect tax file numbers so we can meet our obligations to the Australian Taxation Office. Tax file numbers are handled in accordance with the Privacy (Tax File Number) Rule 2015. We use and disclose them only where taxation law authorises or requires it, and we do not use them as a general identifier.
How we collect it
Wherever possible we collect personal information directly from you, in person, by telephone, by email, or through forms and documents you provide. We may also collect it from third parties where you have authorised us to do so, or where the law permits, including from the Australian Taxation Office, your bank, your employer, other advisers, or publicly available registers.
How we use it
- Preparing and lodging tax returns, financial statements and business activity statements
- Providing bookkeeping, audit, advisory and business establishment services
- Meeting our obligations as registered tax agents and as members of a professional accounting body
- Communicating with you about your affairs and about our services
- Administering our practice, including billing and record keeping
- Complying with our legal and regulatory obligations
Who we disclose it to
We may disclose your personal information to:
- The Australian Taxation Office, ASIC and other government agencies, where required or authorised by law
- Your other advisers, where you have asked us to deal with them
- Software and service providers who help us run our practice, including accounting, document management and email systems
- Professional bodies and external reviewers in connection with quality review programs
- Our professional indemnity insurers and legal advisers where necessary
We do not sell your personal information, and we do not disclose it for marketing purposes.
Financial advice is provided separately
Better Business Accounting does not provide financial product advice. Where you ask us to introduce you to a financial adviser, we will only pass on your information with your consent, and the adviser will handle it under their own privacy policy.
Storage and overseas disclosure
Some of the software we use to run the practice stores information on servers that may be located outside Australia. Where that is the case, we take reasonable steps to ensure the provider handles your information in a way that is consistent with the Australian Privacy Principles.
How we protect it
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include restricting access to our systems and premises, using secured and password protected systems, and destroying or de-identifying records when we no longer need them and are no longer required to keep them.
No system can be guaranteed to be completely secure. If we become aware of a data breach that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
How long we keep it
We keep records for as long as we need them to provide our services, and for as long as we are required to keep them under taxation law and our professional obligations. In most cases this is at least five years after the work is completed.
Our website
You can browse this website without telling us who you are. Our web server may record standard information such as your IP address, browser type and the pages you visit, which we use only to maintain and improve the site.
If you contact us through this website, we will use the details you provide to respond to you.
Access and correction
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong, out of date or incomplete. We will respond within a reasonable time. There is no fee for making a request, although we may charge for the reasonable cost of providing copies. In some limited circumstances the law allows us to refuse a request, and if that happens we will tell you why.
Complaints
If you think we have mishandled your personal information, please contact us using the details below. We will acknowledge your complaint and aim to resolve it promptly.
